Minutes of the election ballot count.

The following minutes cover the procedure, the results of the ballot count and Directors minutes of meetings on the 1 December 2003, at 8:00 pm.

At 8:00 pm on the 1 December 2003 CRTV Office was closed and the Ballot Box was moved into the Boardroom. The following people went into the Boardroom:

Mr. Ken Croft - CRTV Director & Election Chair for 2003
Mr. L. Marshal - CRTV Director
Mr. R. Kerr - CRTV Director
Mr. Jim Forsyth - CRTV Manager
Mr. Perry Birchard - Scrutineer for Rick Robertson
Mr. Lorri Jordan - Scrutineer for David Thompson
Mrs. Michelle Robertson - Scrutineer for Larry Lundrigan
Mr. Ron Cellis - Scrutineer for Wade Birchard

The manager reviewed the process with the group noting that the Advance Poll occurred on Thursday the 27 November 2003 during normal working hours; and that, at the end of day the Ballot Box was sealed by the Manager which was witnessed by Anita Prendergast. Each ballot that was issued to a voting member was signed by a CSR & date stamped. The ballot box was then opened again on the 1 December 2003 at 8:00 am noting that Kelly Cammack witnessed that the Box had not been tampered with.

The following procedure was used to determine the vote:

1) The sign up sheets were numbered and counted noting that 398 votes had been cast. (All agreed with the count)
2) The Ballot Box was opened and the ballots were counted into bundles of 50. At the same time each ballot was reviewed to determine that it was signed and properly date stamped. Problems were found with four ballots and it was determined by the group to accept three of the ballots. (All agreed)
3) The count was performed in the following way: The Manager read off each ballot witnessed by Mr. Jordan
- the count was then recorded by R. Kerr, L. Marshal and Mrs. M. Robertson. Mr. K. Croft and Mr. P. Birchard oversaw the process. Each bundle was counted separately with full agreement and confirmation of all participants that the count was accurate. At the end of the count the numbers were tabulated and the following was determined:

4) Mr. K. Croft then confirmed that the four people that have successfully been elected as Directors of CRTV where Barry Henshall, Garry Griffin, Susan Sinnott and John Kerr. All in attendance agreed.
5) The manager then confirmed with the group that the count was performed properly. All agreed.
6) The scrutineers then left the meeting.

The three Directors then met separately with the following motion being made by L. Marshal, seconded by R. Kerr: THAT all the election ballots are destroyed.
CARRIED.

Following this meeting all of the Directors of CRTV met at 11:00 pm in the CRTV Boardroom - this included Barry Henshall, John Kerr, Garry Griffin, Susan Sinnott, Ken Croft, Ron Kerr and Layne Marshal. The Manager Jim Forsyth was in attendance.

Moved by L. Marshal, seconded by R. Kerr: THAT all the election ballots are destroyed. CARRIED.

Moved by S. Sinnott, Seconded by B. Henshall: THAT the meeting be adjourned. CARRIED.
